Executive Assistant R&D


Provides administrative assistance to several departments, with approximately 75% of time dedicated to supporting the R&D department and 25% of time to other organizational support areas to ensure that company goals and objectives are accomplished. Additionally, this individual will manage inventory and office supplies to ensure operations run efficiently.

Position description:

  • Manage/maintain/update multiple internal calendars and contacts.
  • Schedule meetings/conference calls, ensuring required materials are prepared and distributed to both internal and external participants prior to meeting time.  Resolve scheduling conflicts proactively and ensure meeting requests are prioritized according to business need. 
  • Coordinate meeting logistics including catering, hotel and external venue needs, with both internal and external participants, speaking engagements and related travel.
  • Coordinate travel ensuring cost-effective logical itineraries are developed which comply with the TB Alliance Travel Policy, and that all international travel requirements/documents are secured prior to departure date. 
  • Prepare/process multiple expense reports and reimbursement requests monthly.
  • Establish and maintain hardcopy and/or electronic files and materials as requested.
  • Maintain a high level of professionalism.
  • Communicate clearly and accurately with internal and external parties.
  • Draft correspondence of a non-scientific nature; assist/prepare Word documents and PowerPoint presentations as requested.
  • Work cooperatively with other TB Alliance administrative support staff to maintain office efficiency and general reception duties, including reception of guests, answering main phone lines, and participating in general rotated office duties.
  • Serve as back-up to other administrative support staff when needed.
  • Order office and pantry supplies; maintain inventory and restock as necessary.
  • Participate in special projects, as requested.
  • Responsible for compliance with applicable GxP regulations in performing the functions of the job and completion of applicable regulatory trainings provided by TB Alliance.

Ideal candidates will have:

  • Five or more years’ relevant business experience, with previous senior level administrative experience preferred
  • Experience in the medical, pharmaceutical or biotechnology industry preferred
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Familiarity with SharePoint and Dropbox
  • Experience with international travel and meeting planning
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Strong organizational and interpersonal skills
  • Strong verbal and written communications skills
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Ability to establish priorities and adhere to deadlines
  • Bachelor’s degree in relevant discipline preferred
