Administrative Coordinator, CTA

Summary:

Reporting to the Chief Medical Officer, the Administrative Coordinator will provide a wide range of administrative support to assigned areas, teams, and individuals, as well as coordinate organization-wide activities. As a member of the R&D team, will contribute to departmental objectives, coordinate cross-functional and organizational activities.

In collaboration with clinical project teams consisting of Clinical Operations, Medical Affairs, Microbiology, and Pharmacovigilance, this individual will be responsible for supporting clinical program or trial execution activities throughout the entire clinical trial process, from the startup phase to clinical trial close out phase.

Position description:

 

  • Support administrative activities of the clinical project team including meeting scheduling, travels and expenses.
  • Attend, generate and distribute clinical trial meeting agendas and minutes at clinical project team meetings.
  • Set-up and maintain clinical trial files on SharePoint and contact list i.e., sponsor, investigator and site staff, and vendors
  • Provide clinical trial documents to the designated CRO for upload to the eTMF
  • Develop and maintain clinical trial tracking tools and study documentation during the trial
  • Perform QC of clinical documents and periodic QC of the essential documents of the eTMF
  • Coordinate meeting logistics including A/V set up and management, catering, hotel/external venue needs, and ensure contracts as in place.
  • Coordinate speaking engagements and related travel for internal and external participants.
  • Coordinate travel, for internal and external travelers, ensuring cost-effective logical itineraries which comply with the TB Alliance Travel Policy are developed, and that all international travel requirements/documents are secured prior to departure date.
  • Manage materials and files, establishing and archiving documents, editing, proofreading, and updating as needed. Establish and maintain databases, as required.
  • Contribute to effective office management as part of the Administrative Support team, including rotation of on-site presence, reconciliation of general use procurement cards, supply management, facilities coordination, reception of guests, answering main phone lines, and share rotated general office duties as a team member.
  • Back-up other administrative support staff, and participate in coordinating larger meetings and special projects, as needed.
  • Responsible for compliance with applicable GxP regulations in performing the functions of the job, including completion of annual GxP or other applicable regulatory trainings provided by TB Alliance.

Ideal candidates will have:

  • 3+ years’ experience in senior level administrative support, meeting coordination, document preparation, and office coordination, with a minimum of 2 years relevant experience in a support role in the clinical research field, preferably in a CRO or Pharmaceutical industry.
  • Bachelor’s degree in a related discipline required
  • Knowledge and understanding of clinical trial regulations and processes including GCP
  • Strong user skills with all Microsoft Office products
  • Experience with international travel and meeting planning
  • Highly organized and detail oriented
  • Exceptional interpersonal, written, and verbal communication skills
  • Creativity and strong problem-solving skills
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
  • Strong multi-tasking capability with the ability to manage collaborative activities and competing demands.  Ability to establish priorities and adhere to deadlines

Starting salary is expected to be in the range of US$60,000 - $75,000, exact salary will be commensurate with skills and experience and adjusted to reflect local currency for candidates outside the US.
